How we handle your data when you use silentdiscoclub.co.uk. Short version: we only collect what we need, we don’t sell or share, and you can ask us to delete it any time.

Who we are

This website (silentdiscoclub.co.uk) is operated by Silent Disco Club, trading from Preston, Lancashire. For privacy purposes we are the data controller of any personal information you provide to us through this site.

What we collect

We only collect personal information that you give us directly. This includes:

  • Booking and quote details — your name, email address, phone number, event date, and event location when you complete a booking or request a quote
  • Contact form submissions — any information you provide when you contact us through the website
  • Payment information — if you pay online, card details are handled directly by our payment processor (Stripe) and we never see or store them ourselves
  • Technical data — basic information your browser sends with every web request (IP address, browser type, pages visited) for security and site performance purposes

How we use your data

We use your information for the following purposes only:

  • To fulfil your booking — processing your event, sending confirmation, coordinating delivery and collection
  • To respond to your enquiries — answering questions you send through the contact form or by email
  • To send transactional emails — booking confirmations, paperwork, delivery slot updates, and other event-related communications
  • To meet our legal and accounting obligations — retaining invoices and transaction records as required by HMRC and UK business law

We do not use your data for marketing without your explicit consent, and we do not sell or share your information with third parties for their marketing purposes.

Cookies

This website uses a small number of cookies to function properly:

  • Essential cookies — required for the site to work, including session management and your cookie-consent choice itself
  • Functional cookies — remember your preferences as you move through the site (for example, your quote progress if you start building one)

We do not currently use advertising cookies or third-party tracking cookies. When you first visit the site you’ll see a cookie consent banner letting you accept or decline. Your choice is stored on your device and you can change it any time by clearing your browser’s local storage.

How long we keep your data

We retain personal data only as long as we need it:

  • Booking records — six years from the date of your event, as required by UK accounting and tax legislation
  • General enquiries — up to 12 months if they don’t result in a booking, then deleted
  • Marketing list — until you unsubscribe (we don’t currently run a marketing list, but this applies if we ever do)

Who we share it with

We only share your data with trusted service providers that help us run our business. These currently are:

  • Hostinger — our website hosting provider (data stored in EU/UK)
  • Stripe — payment processing (PCI-DSS compliant; we never see or store full card details)
  • Postmark / our email provider — transactional email delivery
  • HMRC and our accountants — where required for tax and statutory reporting

All these providers operate under data-processing agreements that require them to handle your information securely and use it only for the purposes we’ve agreed.

Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Correct any inaccurate or incomplete data
  • Delete your data (subject to our legal retention obligations)
  • Restrict how we process your data
  • Object to processing for direct marketing
  • Receive a copy of your data in a portable format
  • Lodge a complaint with the Information Commissioner’s Office (ico.org.uk)
