Terms & conditions.

The standard fine print for hiring silent disco equipment from us. Plain English, no surprises, all on one page so you know exactly what you’re agreeing to when you click Buy now.

The basics

These terms apply to all hire bookings made through silentdiscoclub.co.uk. By placing a booking you agree to them.

  • “We” / “us” means Silent Disco Club, trading from Preston, Lancashire.
  • “You” / “the hirer” means the person or organisation making the booking.
  • “The equipment” means the wireless headphones, transmitters, lighting, and any accessories supplied as part of your booking.
  • “The hire period” means the duration the equipment is in your possession, from delivery to collection.

Booking & confirmation

A booking is confirmed once payment has been received in full and we’ve sent you a written confirmation by email. Until both of those have happened, your event date is not held.

We reserve the right to decline any booking at our discretion. If we do, you’ll receive a full refund within 5 working days.

Pricing & payment

Prices shown on the website are inclusive of VAT and quoted in pounds sterling (GBP). The price you see at checkout is the price you pay — no hidden fees, no fuel surcharges, no extras.

Payment is taken in full at the point of booking via Stripe. We do not currently offer deposit-only or split-payment options for online bookings. If you need a different arrangement (such as a purchase order for corporate or public-sector clients), please contact us directly.

Cancellations & changes

We understand that plans change. Our cancellation terms are:

  • More than 14 days before your event: full refund less a 10% admin fee
  • 7–14 days before your event: 50% refund
  • Less than 7 days before your event: no refund, but we’ll do our best to move your booking to another date within 6 months at no extra cost

Date and venue changes can usually be accommodated free of charge if requested more than 14 days in advance and subject to availability. Inside 14 days a small admin fee may apply.

If we have to cancel due to equipment failure, illness, or events outside our reasonable control, you’ll receive a full refund. Our liability is limited to the value of your booking.

Delivery & collection

Standard delivery is included in your booking price. Equipment is delivered the day before your event (or as agreed) and collected the next working day after the event ends. Specific delivery and collection windows are confirmed by email after booking.

It’s your responsibility to ensure someone is available to receive the equipment at the delivery address and to have it ready for collection at the agreed time. If we’re unable to deliver or collect because no one is available, additional charges may apply for re-attempted delivery or extended hire.

For unusual or remote venues, additional logistics charges may apply — these will always be agreed in writing in advance.

The equipment

All equipment is PAT-tested and supplied with full public liability insurance. You’ll receive certificates and risk assessment documentation by email before your event.

You agree to:

  • Use the equipment only for its intended purpose (listening to music wirelessly)
  • Keep the equipment in a safe, dry, secure location when not in use
  • Supervise the equipment for the duration of the hire period
  • Not modify, dismantle, or attempt to repair the equipment yourself
  • Return all items in the same condition as supplied

Loss, damage & charges

Reasonable wear and tear is expected and not chargeable. Beyond that:

  • Damaged headphones — charged at £65 per unit for replacement
  • Lost or stolen headphones — charged at £85 per unit for replacement
  • Damaged transmitter or accessories — charged at replacement cost (typically £150–£400 depending on the item)
  • Equipment exposed to liquid damage beyond IPX4 conditions — charged at replacement cost

We’ll always inspect equipment fairly on return and discuss any charges with you before invoicing. Our insurance covers genuine accidental damage during normal event use; wilful damage, theft, and neglect are not covered.

In over a decade of hire we’ve only had to invoice for damage a handful of times. Most events return everything in perfect condition. These charges exist to protect us, not to catch you out.

Liability

We hold £10 million public liability insurance covering the use of our equipment at your event. Our maximum liability to you under any booking is limited to the value of that booking.

We’re not liable for:

  • Loss of profit, business interruption, or consequential losses arising from equipment failure or our cancellation
  • Injury or damage caused by misuse of the equipment by you or your guests
  • Venue-imposed restrictions, third-party claims, or issues with your event venue itself

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, fraud, or any other liability that can’t be excluded by law.

Things outside our control

Neither party is liable for failure to perform under these terms because of events outside reasonable control, including (but not limited to) extreme weather, transport disruption, government restrictions, fire, flood, or industrial action.

If such an event prevents us from delivering, we’ll offer to reschedule your booking to a later date at no extra cost. If rescheduling isn’t possible, you’ll receive a full refund.

Your data

We handle your personal data in accordance with our privacy policy, which explains what we collect, how we use it, and your rights.

Changes to these terms

We may update these terms from time to time. The version that applies to your booking is the one published on this page at the time you placed it. We’ll always link to the current terms from the booking confirmation email.

Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

If any individual clause is found to be unenforceable, the rest of the terms remain in full effect.
