The school/uni events workflow is heavier on the paperwork side than typical hires. We handle the documents end first, then the event runs essentially the same as any other silent disco.
Pre-event paperwork (signed off in 48h)
Once the quote's accepted we send the risk assessment, PAT-test certificates, insurance documents, and supplier-vetting paperwork. Your bursar / events lead signs them off — most school/uni venues approve within 48 hours of receipt because there's no amplified-sound risk to assess.
Delivery (typically morning of event)
Flight case rolls in on wheels. For school events we usually deliver mid-morning so you have the afternoon for setup before doors. For university freshers'/RAG events we can do day-before delivery if your storage allows.
Sound check & staff brief (15 minutes)
Transmitters into mains, audio source (laptop, DJ rig, or phones) plugged in, test signal pushed to a few headphones. The 5-minute staff briefing covers handing out, recovering, and the deposit/wristband system. Designed to be runnable by your usual event staff with zero technical experience.
Event runs — curfew is irrelevant
Doors open, students collect headphones at the handout, the night runs. Your venue noise curfew at 10pm doesn't apply — you can run the event to your timetable, not the building's. Standard signal-to-staff if anything needs adjusting mid-event.
Pack-down & collection (next working day)
Headphones returned at the handout point in exchange for the deposit/wristband. Cases sealed and ready for collection by our courier the next working day. No counting, charging, or cleaning required by your staff — full turnaround is on us.

What documentation do you supply for our event approval file?
Full file as standard: completed risk assessment (template supplied for your school's format), PAT-test certificates for every unit in the booking, £10m public liability insurance documentation, supplier-vetting questionnaire (commonly required by LEAs and university procurement), and a one-page event brief for your venue manager. Everything goes to your bursar in a single email within 48 hours of booking.
How does the volume cap work for younger students?
Maximum volume is hardware-capped at a level well below the threshold for hearing damage over extended exposure — significantly safer than a typical school PA system. Each headphone adjusts independently so younger or hearing-sensitive students can choose a lower volume without it affecting anyone else. We supply hearing-safety documentation alongside the PAT certs for safeguarding files.
Can we genuinely run past the venue 10pm curfew?
Yes — almost every school/university venue's amplified-sound curfew is about noise leakage from the building, not the event itself. Silent disco produces zero amplified sound, so the curfew clause doesn't apply. We've supplied school proms running past midnight and university events running to 3am in venues with documented 10pm curfews. Your venue manager just needs the brief in advance.
Are the headphones SEN-friendly and hearing-aid compatible?
Designed for it. Hearing-aid wearers keep their aids in and put the headphones over the top. SEN students who struggle with sensory overload of conventional PA events thrive because each headphone has its own volume control and they can mute or step out without affecting anyone else. We've supplied SEN classroom sessions, autism-friendly proms, and inclusive end-of-term events across the UK.
What is the setup for school proms and summer balls specifically?
School proms typically run 7pm-midnight, 100-300 students depending on year group size. We deliver morning of, set up by mid-afternoon, brief your staff by 5pm. Standard kit list: 200 headphones, two transmitters (so you can run three channels), one of the lighting packages, often a karaoke add-on for the 6th form leavers' format. Do you do annual contracts for multiple events through the school year?
Yes — multi-event contracts are common for schools running summer ball + Halloween disco + Christmas event + prom, and universities running freshers' + RAG + summer ball. Annual contracts work out significantly cheaper than per-event hire and lock the dates 6-12 months ahead. Send the event calendar via the contact form for a multi-event quote.
Can our event staff run it themselves, or do you stay on site?
Standard hire is unsupervised — your event staff run the kit after our 15-minute briefing. For larger events, first-time users, or if your team would rather not deal with the technical bit, we offer on-site supervision for the first hour or for the whole event (extra cost, included in the quote). Most schools self-run from the second event onwards.
What happens if a student loses or breaks a headphone?
Insurance covers normal use and student-event damage — we don't invoice for the inevitable knocked-off or misplaced units. Spare units (5-10% over-supply) are built into the count. Wilful theft or destruction is recoverable from the student via the deposit/wristband system, but in over a decade of school/uni hires we've only had to invoice for that once.
